Year 1 Cost:
What it takes to break even:
Year 2 and beyond:
Your 5,000-contact list is still in play. The 3-year sequence is still running. Your infrastructure is already built. You are paying $297/month for a system that is quietly working in the background, compounding over time. The cost per acquisition goes down every year you stay in.
"We have not had anybody not get the results they are looking for in the long run. The price is so inexpensive that even if you get a couple of new clients per year, it pays for itself."

Additional contacts are billed at $0.40/property (one-time sourcing fee). List building via PropStream can yield up to 5 email addresses and multiple phone numbers per property. Every 2,000 additional active contacts adds approximately $30/month to your management fee (to cover the additional domain and inboxes needed to send at the right pace).
Yes. If you have an existing list of property owner contacts, we can use it. We'll run it through our email verification process at $0.10/email before adding it to the campaign. Skipping verification causes deliverability problems that hurt your whole campaign — so we won't skip it regardless of the list source.
The Premium Upgrades package (~$180/mo) is a Yelp product we strongly recommend — it unlocks 7 features that significantly improve your profile's conversion rate. It's billed by Yelp, not by us. We manage it on your behalf.
Yes — every address is verified before it's loaded into SmartLead. Verification checks whether an address is deliverable, role-based, or likely to bounce. Sending to unverified lists increases hard bounces, which damages your inbox reputation and can trigger blacklisting. We verify every list to protect long-term deliverability — including lists you provide.
Deliverability collapses. A high bounce rate signals spam to inbox providers, which causes your sending domains and inboxes to get flagged or blacklisted. Once a domain is blacklisted, it's effectively worthless — we have to retire it and start fresh. We don't give clients the option to skip verification for this reason.
Yes, as an add-on. Contact us for current pricing.
SmartLead is the cold email platform we use to manage all campaigns. It handles inbox and domain rotation, sending schedules, reply detection, and reporting. You don't need an account or any technical knowledge — we manage everything on your behalf. Direct access is available if you want to log in and check performance yourself.
A reply is any response to your campaign. Most replies are not leads — they're neutral or negative (unsubscribe requests, "not interested" responses, curiosity questions). A lead is a reply with confirmed buyer intent — someone expressing genuine interest in your property management services. We manually review every reply to make that call. Only confirmed leads go into your ScoreBig CRM.
SmartLead's contact list includes everyone who received a campaign email — the vast majority of whom have never responded. Your CRM is a pipeline tool, not a broadcast list. Pushing everyone creates noise, makes pipeline management impossible, and undermines the value of your CRM as a working tool. Only contacts who've shown genuine interest belong there.
DM4PM does. Our team reviews all incoming replies, confirms buyer intent, and manually pushes warm leads into your ScoreBig CRM under your PM Acquisition campaign. We notify you in ScoreBig when a lead arrives. Your team handles the follow-up from there.
Each inbox sends up to 15 emails/day — the safe maximum for inbox health. With 9 inboxes, that's approximately 135 emails/day, or roughly 945/week. Your full 5,000-contact list rotates over 2 months: half the list in month 1, second half in month 2, then the cycle repeats. Every contact is touched multiple times per year across the 3-year sequence.
Yes — with one important caveat. Significant changes to messaging (different target persona, different pitch angle, different geography) require a new campaign with isolated infrastructure. Mixing multiple content types in one campaign hurts performance and creates reporting confusion. New campaigns are $750 setup + $297/month each.
Yes. We share drafts during setup and require your approval before launch. Because the spinning content engine creates unique variations of each email, what you review is the base template — not every individual variant. But the core messaging and tone are approved by you before anything is sent.
Inboxes: $8/month each. Domains: approximately $5.50/month each. Adding inboxes increases your daily send volume without requiring more contacts — a good option if you want to move through your list faster. Adding domains is required when adding a new campaign or scaling contacts significantly.
Every 2,000 additional active contacts requires 1 additional domain and 3 additional inboxes to maintain safe sending ratios. The effective cost is approximately $30/month per 2,000 additional contacts.
No — and this is non-negotiable. Branded domains consistently underperform generic domains in cold email deliverability. We tested this with a client who insisted on branded domains against our recommendation. After 2.5 months: zero positive replies. Every other client on generic domains was performing medium to well. We switched them to generic and results improved. Generic-only is a hard product standard — it is not optional.
Generic domains protect your primary company domain's reputation and deliver significantly better inbox placement. Inbox providers treat outbound cold email with increased scrutiny. Generic domains absorb that friction — your main domain stays clean. Additionally, generic domains carry no pre-existing brand associations or negative deliverability history.
Each inbox uses a consistent fictional sender name (e.g., "James R." or "Sarah M.") rather than a real staff member. This serves two purposes: it keeps replies cleanly attributable to the campaign (no confusion with real employees), and it allows standardized reporting and lead attribution across all inboxes. The sender name is clearly not intended to impersonate a real person.
Every campaign email includes a standard unsubscribe link per CAN-SPAM requirements. When someone unsubscribes or requests removal, SmartLead automatically excludes them from all future sends. You can also provide a suppression list at any time to remove anyone proactively.
They'll receive the campaign unless you provide a suppression list before launch. We strongly recommend providing your current client list so we can exclude them — it's a simple step that prevents awkward "wait, you already manage my property" responses.
Yes — and we recommend doing this before launch. Provide names, email addresses, or property addresses and we'll scrub them from your list before the first email goes out.
Honest answer: cold email produces the lowest-quality leads of any channel we run, and we'll tell you that upfront. Response rates vary based on market, list quality, messaging, and timing. What we can say confidently: every client who has stuck with this long-term has gotten results. Set a realistic expectation — your CRM may have zero entries for the first 60–90 days. That's normal. Cold email is a long game, and at $297/month, you can afford to play it.
From a 5,000-contact list, a target of roughly 1% positive replies means approximately 50 replies worth reviewing. Of those, 10–20 may have genuine buyer intent. Of those, 1–3 may close in year one. One closed client pays for your entire first year. And in year two, the system is still running — your cost-per-acquisition continues to drop.
Spinning content uses AI and template variation to generate a unique version of every email sent — different phrasing, different sentence structure, sometimes different format. This is critical for deliverability: inbox providers flag campaigns where identical emails are sent in bulk. Spinning prevents pattern detection while keeping your core message consistent across every contact.
Deliverability is whether your email actually reaches someone's inbox (vs. going to spam or being filtered entirely). It's determined by domain reputation, inbox warmup history, sending volume, bounce rates, and content signals. Everything we configure — generic domains, inbox warmup, email verification, spinning content, strict sending limits — is designed to protect and maximize your deliverability over the full campaign lifecycle.
Typical setup is 2–4 weeks from signed agreement to first send. This includes list sourcing, email verification, domain registration and warmup, inbox setup and warmup, content creation, landing page build, and your review and approval of campaign materials.
They're separate systems connected by a manual handoff. SmartLead manages the outbound campaign and captures all replies. ScoreBig is your property management CRM. DM4PM bridges the two — we review SmartLead replies and push confirmed buyer-intent leads into ScoreBig manually. The human review step is intentional: it ensures only real leads enter your pipeline.
Warm leads from your cold email campaign land in your ScoreBig CRM under the PM Acquisition campaign. From there, they enter the PM Growth Engine workflow — automated follow-up, drip nurture, and pipeline tracking. Cold email fills the top of the funnel. PM Growth Engine handles the conversion from "interested" to "signed."
